Leveraging our purchasing power and privileged relationships with the industry’s largest suppliers and manufacturers, we contribute to ensuring a clean and safe environment in the B2B market, from coast to coast, while fostering the growth of our members and our network.
You will be working for the VP of Supply Chain.
Main Responsibilities:
1. Calendar and Meeting Management
- Manage the VP’s calendar, scheduling and coordinating internal and external meetings to optimize their time.
- Prepare necessary files and documents for meetings, including presentations, reports, and summary notes.
- Coordinate the management of meeting minutes, ensuring required actions are assigned and followed up on.
2. Administrative and Organizational Management
- Monitor emails and correspondence, filtering priority requests and coordinating responses with relevant teams.
- Oversee document management and the archiving of administrative files, contracts, and reports for quick and structured access to information.
- Track key deadlines and deliverables in collaboration with various teams, sending reminders as necessary.
- Support the organization of events and professional gatherings, such as conferences, training sessions, or supplier visits.
- Optimize administrative processes by suggesting improvements to save time and reduce repetitive tasks.
3. Operations and Performance Optimization
- Deploy and optimize the Vice-President’s strategies to continuously improve service quality, internal and external customer satisfaction, and operational efficiency.
- Establish key performance indicators (KPIs), analyze results, and recommend strategic actions to maximize productivity and efficiency of operations and the sales team.
- Develop and manage departmental budgets, ensuring cost optimization while maintaining a high level of service.
4. Relationship Management and Interdepartmental Collaboration
- Develop and maintain strategic relationships with suppliers and partners to ensure a reliable and efficient supply chain.
- Collaborate with other departments (sales, finance, logistics, IT) to align strategies and improve synergy between teams.
5. Continuous Improvement and Innovation
- Lead continuous improvement and innovation initiatives by integrating industry best practices and leveraging new technologies.
- Conduct strategic monitoring of market developments, new trends, and issues related to the supply chain to anticipate future needs.
5. Strategic Support and Reporting
- Offer strategic and operational support to the department team to meet their daily needs and enhance their performance.
- Develop and present detailed management reports meeting the requirements of the Vice-President of Supply Chain, highlighting in-depth analyses and recommendations for informed decision-making.
Desired Profile:
- You are an experienced administrative professional with exemplary organizational rigor. You have between 3 and 5 years of experience in a similar role, ideally in a dynamic and confidential environment where managing priorities is essential.
- Excellent Organization and Time Management.
- You excel in planning and time optimization. You know how to manage a complex calendar, coordinate meetings, and ensure rigorous follow-up on deadlines. You are proactive and ensure that the VP’s priorities are always aligned with strategic objectives.
- Sense of Service and Administrative Support.
- You are an essential pillar in the smooth functioning of the department. From managing emails and correspondence to preparing files and presentations, you provide efficient and discreet support. You know how to write clear minutes, organize travel, and manage document archiving with rigor and confidentiality.
- Communication and Interpersonal Skills.
- With excellent communication skills, both oral and written, you interact with various stakeholders with professionalism, diplomacy, and discretion. You are comfortable in a demanding environment where the management of sensitive information is paramount.
- Proficiency in Technological Tools.
- You are comfortable with digital tools and leverage new technologies to optimize your work. You are proficient in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and are capable of using project management software and collaborative tools.
- Attention to Detail and Analytical Mindset.
- Nothing escapes you! You have a keen eye for detail and an analytical ability that allows you to anticipate needs and identify potential improvements. Your rigor and critical thinking ensure precise and reliable work.
- Perfect Bilingualism in French and English, both spoken and written.
